Legal Assistant

We are currently searching for a Legal Assistant (Litigation/Transactions/Trade-marks) to join our firm and support our Law Practice Group for a one-year maternity leave coverage.

Responsibilities:

  • Working closely with the Law Practice Group in a team-based environment to ensure work is efficiently handled.
  • Arranging meetings, travel, conference calls, etc.
  • Preparing and finalizing court documents for all levels of the Canadian Courts, costs schedules, trial records, mediation briefs, Affidavits.
  • Coordinating with process servers/court offices/legal-related businesses.
  • Web or other investigations, and searching cases.
  • Proactively reminding the professional of due dates and ensuring the professional’s calendar is up-to-date at all times.
  • Drafting and preparing correspondence.
  • Liaising with clients, counsel, foreign associates, staff, professionals, and courts for various tasks, events, and meetings.
  • Time docketing, reviewing pre-bills and billing as directed by the professional.
  • Handling the opening and closing of files.
  • Paper and electronic file organization.
  • Proof-reading, filing, binding, and other administrative duties.

Qualifications and Skills:

  • Ability to manage multiple priorities while paying attention to details.
  • Minimum of 5 years of relevant working experience with Litigation, Transactions and Trade-marks.
  • Solid understanding of MS Suite.
  • Working knowledge of PATTSY, Aderant, Case Map, Summation, Time Matters, Pre-Law Discovery and Concordance would be beneficial.
  • General knowledge of the Rules of Civil Procedure, and court practice and procedures at various levels.
  • Reliable, punctual and proactive.
  • Excellent time management skills and the ability to work well under pressure.
  • Excellent problem solving skills.
  • Excellent communication skills (both verbal and written).
  • Excellent interpersonal and client service skills, strong initiative and ability to work independently as well as in a team-oriented environment.

Patent Assistant

We are currently searching for a Patent Assistant to join our firm and support our Patent Practice Group.

Responsibilities:

  • Drafting and preparing correspondences for professionals’ approval/signature using precedents.
  • Monitoring due dates, and proactively reminding professionals on due dates and all matters requiring the professionals’ attention.
  • Routing or answering correspondences not requiring professionals’ attention, and following up if required.
  • Coordinating the filing of domestic patent applications and directing Associates regarding the filing of foreign applications.
  • Instructing foreign Associates to pay renewal fees.
  • Time docketing, reviewing pre-bills and billing as directed by the professional.
  • Handling the opening and closing of files with minimal supervision.
  • Transcribing, typing, and other administrative duties as assigned by the professional.
  • Working closely with other Patent Assistants and professionals in a team-based environment.

Qualifications/Skills:

  • 3-5 years of experience working with patents.
  • Legal Assistant Diploma/Certificate or equivalent experience.
  • Ability to manage multiple priorities while paying attention to details.
  • Reliable, punctual and proactive.
  • Excellent time management skills and the ability to work well under pressure.
  • Excellent problem solving skills.
  • Excellent communication skills (both verbal and written).
